Use AI in a small business: prepare the daily handoff

Facts checked

Use AI for a small business task by supplying the current input, clear instructions and an example of the work you want back. Name who will review it before anyone uses it. For a daily job, prepare a handoff note you can update each time the work starts.

How do you use AI for your small business?

Choose a repeat task and prepare the materials for today's work. State what to return, where to leave it and who should receive any questions.

Pick the job before writing the daily instructions. If you need to narrow the choice, use the one-page task inventory to list the work you're considering.

Prepare each handoff in these steps:

  1. Name today's task. Keep the request within the job you've agreed to try.
  2. Attach the current input. Label the file or note clearly, and ask the sender to confirm it's the version to use.
  3. State what changed since the last task. If the instructions still apply, say to use them with today's input.
  4. Show the format you want back. Use a short sample with blank spaces for details that must come from the new input.
  5. Name the reviewer and where to return the work. Include who to ask if the task can't proceed as written.

Keep the daily note short enough to read beside the input:

Daily handoff detailYour notes
Today's task______
Current input and version______
Change to the instructions______
Example of the output format______
Where to return the draft______
Reviewer and person to ask______
Revision needed after checking______

Example

For a daily summary of open work, try this instruction:

Use today's open-work notes to draft a summary for the team lead. Use this format for each item: “Work item: ______. Next action in the notes: ______. Person named in the notes: ______.” If an action or name is missing, mark it as a question for the lead. Leave the source records unchanged.

Replace the input label with the actual note you're supplying. Keep the returned summary as a draft until the team lead has checked it.

If the task includes taking an action, write down where it must wait for your decision. Use the agent permission boundary to define those stops.

Ask about any setup needed before you assign the daily work. Use the setup quote checklist to prepare the scope questions for that discussion.

How do managed AI agents work?

BreadHead says its AI systems do much of the work, while people direct it, check it and approve it. It also lists marketing research, copy, design, funnels, sites, web apps and repeat admin work among its agents' tasks.

For the job you want handled, agree on what you'll supply each day and what should come back. Ask who will raise a question about unclear instructions and where the work should wait for an answer.

Check each returned draft beside the daily note. Read the source input as well, and mark anything that needs a correction. Keep the review tied to today's request instead of relying on approval of an earlier draft.

Use this check:

  • Was the draft made from the input I supplied today?
  • Does it follow the format I asked for?
  • Have changes to today's instructions been followed?
  • Are missing details left as questions for the right person?
  • Have I written any correction beside the item that needs it?
  • Have I checked the revised version before approving it?

Example

For the open-work summary, leave a revision note like this:

The source note doesn't name who owns this item. Remove the name from the draft and leave a question for the team lead. Return the changed draft for another check.

Add the revision note to the day's handoff record. If the correction should apply to future tasks, update the standing instructions too. Ask the person supplying the next input to confirm which instructions they'll use.

With BreadHead, you review and approve the work before it goes public or into use. Keep your approval beside the version you checked, and name who should take the next step.

If you're still deciding whether to adopt the routine, judge it through a trial first. Use the pilot acceptance sheet to record what you need to see before wider use.
