Automate client onboarding: handle incomplete intake
Facts checked
For client onboarding, try automating checks for missing required details and routing unclear answers to a reviewer. Keep the next task on hold when required details are missing or answers conflict. Resume only after the person who owns intake resolves the gap and approves the answer.
Can I automate client onboarding?
Try automating the check for blank required answers, with unclear answers sent to a named reviewer. Ask that person what must be complete before the next task can begin.
IBM says those who take part in the work and know it first hand can spot odd cases that might tax the software. Bring the person who reads your intake forms into the planning. Ask them to point out questions they often need to send back, using your actual records.
Keep the scope small. Use the one-page task inventory to choose which intake duty you want help with first.
Work through the form with these steps:
- Mark each detail you need before work starts. For each one, write why you need it and who can confirm it.
- Set apart optional answers. Don't hold a form for a blank you don't need to act on.
- Compare details that should agree. Ask what to do if the requested service and the notes describe different work.
- Write the question to send back. Quote the unclear answer so the client knows which part to check.
- Assign the question to a person. Keep the next task on hold until that person records the answer and approves it.
Example
For a form with a service choice that conflicts with the notes, draft a message like this:
You've selected a one-time visit, but your notes ask for ongoing work. Which would you like us to plan? We'll wait for your answer before setting up the work.
Check the draft against the form before sending. Don't choose an answer on the client's behalf or add terms you haven't agreed to.
Decide what you'd want to learn from trying this intake task. Use the automation decision note to write down that reason before you build anything.
Keep a separate plan for a step that fails after intake is complete. Use the workflow exception plan to decide who checks that failure and when work may resume.
Book a discovery call with BreadHead to discuss your intake work and whether BreadHead fits. Booking signs you up for nothing.
Where can you automate client onboarding workflows?
Try automation at form receipt, completeness checks and the handoff to the person doing the work. Choose where the intake record should live and where someone will see an unresolved question.
Ask your team to show you how they find a form today. Pick a place for the original answers, the follow-up question and the client's reply. Before choosing software, ask whoever sets it up to show how those items will stay together.
Use this check:
- Which blank answers should hold up the next task?
- Which answers should match each other?
- Who will ask the client for a correction?
- Where will that person record the reply?
- Who covers intake if the assigned person is away?
- What must the next person see before accepting the work?
Fill in this record for each intake question you need to resolve:
| Intake check | Your answer |
|---|---|
| Detail missing or in conflict | ______ |
| Exact question to ask | ______ |
| Person responsible for the answer | ______ |
| Work to hold while waiting | ______ |
| Where to keep the reply | ______ |
| Person who can release the hold | ______ |
Keep the original answer beside any correction. Ask the reviewer to check both, then mark which answer to use. If the reply raises a new question, keep that part of the work on hold and name who should resolve it.
Try the plan with a sample form before using it for live work. Use the pilot acceptance sheet to record what the trial must show and who will check it.
Bring your intake record to a tool discussion. Ask for a demonstration of a blank required answer and a pair of conflicting answers. Compare the best AI workflow automation tools against the intake steps you want help with.
With BreadHead, you review and approve the work before it goes public or into use.
Bring your intake questions to a discovery call with BreadHead to talk about your work and whether BreadHead fits. You can book without signing up for anything.
