Build a follow-up system for leads by choosing when to review each lead, who will do the work and what should stop contact. Put a check of the latest exchange before each planned send. Keep the next review date separate from any decision to send a message.

How do you automate lead follow-up?

Write down what should happen next: check the lead record, assign a task, draft a message and approve it before sending. Ask your supplier which steps it can carry out, how you'll check them and how to stop the work.

Choose one task to try first, such as drafting a reply for you to check. Use the one-page task inventory to write down the help you need.

  1. Choose what should bring a lead up for review. For example, use a date you've agreed with the lead or a task you've promised to finish.
  2. Assign someone to read the latest exchange and choose whether to act, wait or stop.
  3. Assign a writer and a reviewer for each message. Ask how a draft will stay unsent until that check is done.
  4. Decide where to record a pause or stop request. Ask how it'll be checked before any planned contact.
  5. Test those steps with a sample record. Include a pause request and ask the supplier to show what happens to the planned task.

Before drafting, collect the details from the exchange. Use the follow-up context card to keep those details at hand.

If you use HubSpot

HubSpot says these tools come with Sales Hub Professional or Enterprise plans, except where noted. It says you need an assigned Sales seat to use the sales workspace. It also says you need access to the Leads tab to see leads in the sales workspace.

Who can edit a lead

HubSpot says you need Super Admin rights or Edit rights for leads to edit lead records. It also says you need Super Admin rights to change a lead's stage or owner once it reaches Qualified or Disqualified.

Find the next activity

HubSpot says the right panel's Lead stage tracker shows the last contact, last engagement, and next activity. It says if a lead has no future activity planned, you can plan its next activity from the Schedule menu. It says you can also plan the next activity from the leads list.

How do you keep up with follow-ups?

Choose a time to check the work that's due and assign someone to do it. At each check, review the latest reply and any stop request before approving the next action.

Fill in a schedule for the routine:

Pick review times that you can keep. At the end of each review, give any unresolved task an owner and a next check date. If a task is late, ask what's missing before setting another date.

Example

For a lead who asks to wait until they contact you, try this note:

Contact status: Paused at the lead's request. Planned send: Hold. Next review: Check for a new reply at the agreed review time. Resume contact only after the lead gets back to us and the owner checks the exchange.

Use the lead's actual words in your record. Ask the person responsible to confirm that the planned contact has been paused wherever it was set up.

Use this check before putting the routine into use:

  • Is someone assigned to each review time?
  • Does the backup know where to find the work?
  • Is there a check for new replies before a draft is approved?
  • Can the reviewer find and act on a pause or stop request?
  • Who checks that a planned send was held?
  • Where will unfinished work go for the next review?
