Keep track of sales leads by checking each record against the messages and notes behind it. Put missing details, old entries and conflicting records on a cleanup list. Assign someone to check each issue, and hold the change until they find evidence for it.

How do you keep track of sales leads?

Check unclear records against saved evidence, then assign each fix to a person. Keep the current entry beside the change you want to make so the person can compare them.

Choose a small set of records to check first. Use the one-page task inventory to decide which part of record cleanup you'd like help with.

Work through each record in this order:

  1. Mark the issue. Is a detail missing, out of date or in conflict with another record?
  2. Copy the current entry into your cleanup notes. Keep a link or reference to the record it came from.
  3. Find the evidence. Read the inquiry, saved reply or staff note that could confirm the detail.
  4. Write the change for someone to check. If the evidence doesn't settle it, write the question instead.
  5. Assign someone to resolve the issue and set a date to check back. Ask that person to approve the change before anyone makes it.
  6. Check the saved record after the edit. Note what changed, who checked it and what evidence they used.

Use this check:

  • Have I confirmed that the records refer to the same person and inquiry?
  • Does the evidence support this exact change?
  • Have I kept any request to stop or pause contact?
  • Which details still conflict?
  • Who can settle the open question?
  • Has someone checked the saved change?

Example

For records that look alike but show different contact details, leave a note like this:

Record to check: Two inquiries with the same name. Issue: Different contact details. Evidence: The original inquiries. Person to ask: Whoever took the inquiry. Open question: Are these the same person and request? Status: Hold both records unchanged until checked.

How do you track leads in HubSpot?

HubSpot says once a lead is made, you can save its details through its lead record. It also says you can check and edit leads, their current status, activities and links to other records.

Plan and workspace access

Check your plan and access before assigning edits. HubSpot says these tools come with Sales Hub Professional or Enterprise plans, except where noted. It says you need an assigned Sales seat to use the sales workspace. It also says you need access to the Leads tab to see leads in the sales workspace.

Who can edit a lead

HubSpot says you need Super Admin rights or Edit rights for leads to edit lead records. It also says you need Super Admin rights to change a lead's stage or owner once it reaches Qualified or Disqualified.

Check before changing a linked record

HubSpot says a lead is deleted if you remove its main linked object or change which linked object is primary. It also says you can remove links to other objects that aren't primary. Before changing a link, ask the person checking the record to confirm which object is primary.

Read the record beside your cleanup notes. Check the saved evidence, confirm the exact edit and ask a person with the needed access to make it. If the evidence still conflicts, leave the edit on hold and record what needs an answer.

Before trying outside help with cleanup, agree on which records you'll check and what counts as a sound edit. Use the pilot acceptance sheet to set those checks before the trial.

If the saved edit raises a new question, add it to the same cleanup item and name who will answer it.
