How do you automate lead generation?

Connect one inquiry entry point to a saved record and a reviewer. Keep the message and source evidence together, and test that they reach the reviewer before putting the connection into use.

Start with a task you can name. Use the one-page task inventory to choose which part you want help with.

  1. Pick an entry point, such as your website's inquiry form. Write down where its messages go now.
  2. Choose where to keep the inquiry. List the details to pass on and keep the original message with them.
  3. Name who should check the record. Choose a backup for times when that person is away.
  4. Set a place to flag missing details or a failed step. Ask who will check those flags.
  5. Ask the supplier to run a sample through the path. Compare the saved record with the message you supplied.

Keep the source of an inquiry with its record. Use the lead source log to record what backs up that source.

Decide who will take the next sales step after review. Use the sales stage board to plan that work.

How do you track website leads?

Keep the website inquiry, its source evidence and the person responsible together. Ask your supplier how the message will get from the website to your chosen record, and test that route yourself.

Try a sample message such as:

I'd like to ask about repairs to a wooden gate. Please reply by email. What details do you need from me?

Follow that sample through each step. Check that the request for an email reply stays with it. If the record lacks the message or an owner, pause the test and ask the supplier to fix that gap.

How do you automate lead generation reports?

Use each inquiry, its source evidence, its owner and its next action as the fields for a repeat report. Ask your supplier how to produce it, and have a person compare a sample with the original records before accepting it.

Choose who gets the report and when they should check it. Ask how missing details and failed steps will be shown.

Example

Try this report line for the sample inquiry: “Request: wooden gate repair. Source evidence: sample website form. Owner: office manager. Next action: ask by email for photos.” Check every field against the sample you sent.

Use this check:

  • Can you trace each entry to the original inquiry?
  • Does the source have evidence, or is it marked unknown?
  • Is someone named to check the inquiry?
  • Is the next action clear enough for that person to take?
  • Can you find the entries with missing details?
  • Who will resolve each gap before the next report?
