Track sales leads with a board that shows each lead's stage, next action and owner. Keep the evidence for a stage change beside the entry. When a lead has no next action, ask its owner to choose a step or close it and record why.
How do you track leads through a CRM pipeline?
Track each lead's current stage and next action on your sales board. Require evidence for a stage change, such as a reply confirming that the lead wants a quote.
- Choose stage names that fit your work. Write down what must happen before you move a lead into each stage.
- Add the lead and its current stage. Keep a note of the message or decision that supports that choice.
- Write a next action as a task someone can do. Name the person responsible and set a date to check it.
- Have that person read the entry and confirm the next step. Leave any disputed stage open for review.

Plan and lead setup
HubSpot says these tools come with Sales Hub Professional or Enterprise plans, except where noted. It also says the leads object has to be on for leads to show in your account.
HubSpot says a lead needs a named owner to show in the sales workspace. It also says leads with no owner still show on the leads index page and linked contact or company record.
Who can change a lead
HubSpot says you need Super Admin rights or Edit rights for leads to manage leads on the leads index page. It says you need Super Admin rights or Edit rights for leads to edit lead records. It also says you need Super Admin rights to change a lead's stage or owner once it reaches Qualified or Disqualified.
Account date and access
HubSpot says this sales workspace guide is for accounts made before August 27, 2025, whose users had used that workspace before. It sends accounts made after August 27, 2025, or those new to the sales workspace, to its updated workspace guide. It says you need an assigned Sales seat to use the sales workspace. It also says you need access to the Leads tab to see leads in the sales workspace.
Find the next activity
HubSpot says the right panel's Lead stage tracker shows the last contact, last engagement, and next activity. It says if a lead has no future activity planned, you can plan its next activity from the Schedule menu. It says you can also plan the next activity from the leads list.

What should you do when a sales lead has no next action?
Your next step is to ask the lead's owner to choose an action or close the lead. Record the reason for that choice before changing the entry.
Open the last exchange with the owner. Ask what they're waiting for and whether the lead has asked for contact to pause. If you're waiting on someone inside your business, ask that person to answer before drafting another message to the lead.
Use this check:
- Is the missing action an unfinished task or a choice to wait?
- Who owes the next answer: you, someone on your staff or the lead?
- Has the lead asked you to stop or wait?
- What evidence supports keeping the lead open or closing it?
- Who will make the choice, and where will they record the reason?
Example
Try this board entry for an inquiry about collection:
Lead: Collection inquiry. Stage: Needs an answer. Evidence: The lead asked whether collection is an option. Next action: Ask the person who approves delivery terms. Owner: You. Check date: Choose a date before saving. Hold the reply until the terms are clear.
If someone else owns the next action, replace "You" with their name before saving. If you decide to close the lead instead, state why and keep that decision with the record.
Review actions when their check dates arrive. Use the follow-up system checklist to choose who checks them and when contact should pause.
