How do you follow up with real estate leads?

Start with the person's question about the property, check the details with the agent and reply through the agreed channel. If you can't confirm a detail yet, say what you're checking and ask how they'd like to hear back.

Read the full inquiry before drafting. Keep the property reference and any request about contact beside it. Don't add a viewing time, price or property feature unless the agent has checked it.

Prepare the reply in these steps:

  1. Copy the exact question. Note which property the person means, and ask them to clarify if that isn't clear.
  2. List the details you need to answer it. Ask the real estate agent to check each one against the current property records.
  3. Separate the confirmed answer from the open questions. Leave unconfirmed details out of the reply.
  4. Draft the answer to that inquiry. Ask for a next step only if it fits what the person requested.
  5. Ask the agent to approve the draft. Confirm the contact method and any agreed timing before sending.

Example

If someone asks for a floor plan you still need to check, adapt this reply:

Thanks for asking for the floor plan. I'll check with the agent for the current version. Would you like me to send it in this email thread once it's confirmed?

Before sending, confirm who will get the floor plan and who will reply. Don't promise a time unless the person doing the check has agreed to it. If the person has already chosen how to hear back, use that choice instead of asking again.

Keep a manual inquiry log with the property question, the facts awaiting the agent's check and the next agreed contact. Update it after each exchange, and keep the approved reply with the original inquiry.

Keep unanswered questions visible. If the next step depends on the agent, name that person and record what you're waiting for. If it depends on the lead, keep their request beside the next step. Avoid turning a request to wait into a new reminder to contact them.

Use this check before the next contact:

  • Does the reply concern the property they asked about?
  • Has the agent checked the details that answer this question?
  • Have I left out any claims the records don't support?
  • Does the planned contact match what we agreed?
  • Have I checked the latest exchange for a request to wait or stop?
  • Is the approved reply the version ready to send?

Example

For a floor-plan inquiry, fill in the property details to check and the next contact like this:

Property details the agent must check: Is this the current floor plan? Agreed channel and next contact: Email, if the lead agrees. Hold the reply until the agent confirms the file.

Replace that note when the answer arrives. Record what the agent confirmed, then check the reply again before sending it. Keep the earlier note with the exchange so you can trace why you held the response.
