Follow up on a sales lead by reading their reply, answering what they asked and naming a next step. Check any price or promise before you send it. If you need more detail to answer, ask for that detail and leave the unconfirmed parts open.
How do you follow up on sales leads?
Answer the question in the lead's latest message, then ask for the next detail or action you need. Use their words to shape your reply, and leave out a sales pitch they haven't asked for.

Try these steps with the reply in front of you:
- Copy the lead's question into your notes. Keep any request about timing or how to reach them beside it.
- Write the answer you can support. Check your current service notes before adding a price or a promise about what's included.
- Mark the gap if you can't answer yet. Ask the person who knows that detail, or ask the lead to clarify their request.
- Choose a next step that fits the exchange. Ask for a missing detail or suggest a call if that's what they want.
- Name the person who will approve the reply. Record when to stop or pause contact, such as when the lead asks you to wait.
Choose who will pick up a new inquiry and who will reply if that person is away. Use the inbound inquiry handoff to record who replies and who covers an absence.
Example
Use this made-up exchange as a starting point:
Lead: Can you quote for cleaning our office? We'd prefer to discuss it by email.
Reply: Thanks for asking about office cleaning. Could you send the size of the space and the work you'd like included? Please add any access limits we should account for. Let's keep the details here by email.
Adapt the reply to what the lead has told you. If you already have the details you need, answer with the approved quote. Don't ask them to send the same details again.

What should you check before sending the next reply?
Read the draft beside the lead's message and check that it answers their question. Hold any detail that still needs an answer, and confirm who has approved the final wording.

- Have I answered the lead's question or clearly asked for what's missing?
- Have I kept any promise within the terms we've approved?
- Can I trace each price or service detail to a current record?
- Have I kept the contact method and next step we agreed?
- Has the lead asked us to stop, wait or change how we contact them?
- Who has approved the draft, and is it the version I'm about to send?
If a detail is unresolved, write a short note naming the question and the person to ask. Keep the draft unsent until that person answers, then check the edited reply again.

Example
For a quote that still needs a check, leave a note like this:
Hold this reply: the lead asked whether supplies are included, and the quote leaves that unclear. Ask the service owner to confirm. Add the answer to the draft, then have the service owner approve it before sending.
