AI marketing tools for a small business: fill one gap
Facts checked
Choose AI marketing tools for your small business by finding a job your current setup doesn't cover. List what you use now, who does each task and where work gets stuck. Then test help with that gap before changing the rest of your setup.
What are AI marketing tools used for?
Email writing is one use: Jasper says its browser add-on lets you write and edit emails in Gmail or Outlook. It also says its AI can change the wording of your emails.
Start your own tool search with the work you want done. Ask where you need help with a draft, a review or passing work to the next person. Keep each job on its own line.
Work through your current setup:
- List the marketing work you want to check. Start with a recent piece, from the first request to its release.
- Record which tools you used at each step. Include work you did by hand, such as copying approved text into a message.
- Name the person who owns each step. Ask them to point out work they still need help with.
- Describe the gap as a task. Write what comes in, what should come out and who needs that output.
- Ask whether a tool you already use covers the task. Leave the answer open until you've checked it.
Use this gap sheet to record what you find:
| Marketing job | Current tool or method | Person responsible | Missing work | What to check next |
|---|---|---|---|---|
| ______ | ______ | ______ | ______ | ______ |
| ______ | ______ | ______ | ______ | ______ |
| ______ | ______ | ______ | ______ | ______ |
Example
For a task you want to test, fill in a row like this:
Job: Prepare a draft from approved offer notes. Current method: Write it in a shared document. Person responsible: Campaign owner. Missing work: A first draft for that person to edit. Next check: Ask the current tool provider whether it supports that task.
Keep the missing work narrow enough to assign. If your list covers too much, use the one-page task inventory to choose where to start.
Check how a new inquiry reaches the person who will answer it. Use the inbound inquiry handoff to record who takes the inquiry and what they need to answer it.
If your gap concerns what to say after a lead replies, read the exchange first. Use the reply-led next-message plan to work out the next message.
Book a discovery call with BreadHead to discuss your work and whether BreadHead fits. Booking signs you up for nothing.
What are the best AI tools for marketing?
A tool is worth choosing only if its sample does the missing work and the next person can use it. Keep your current method if the sample leaves work you haven't assigned or checked.
Pick a sample task from your gap sheet. Ask the person who owns the next step to review the sample in the place they'd use it. If the work needs to move between tools, try that move yourself and record each step.
Test only the task you need help with. For a draft-writing gap, check the draft and its path to review. Don't add a plan to replace the whole setup unless your checks give you a reason to consider it.
Use this check:
- Which gap does this sample address?
- Can the next person find and use the output?
- Which parts would I copy or change by hand?
- Who checks the work before it moves on?
- Does the sample leave any task without an owner?
- What must I confirm before paying for or adding the tool?
Example
Send the next person a request like this:
Please review this sample in our current draft folder. Check whether you can find the source notes, edit the text and identify the version ready for approval. List any extra steps you'd need before taking over the work.
Record the test before you decide:
- Task tested: ______
- Sample and source notes: ______
- Next person and working location: ______
- Extra steps they reported: ______
- Unanswered question: ______
- Decision and reason: ______
Ask the person who owns the task to choose: adopt the option that passed your checks, keep testing, stay with the current method or try another option. If the gap is tracking where leads stand, define those stages first. Use the sales stage board for that task.
Agree on what you'll accept before extending the test. Use the pilot acceptance sheet to record the checks and the person making the decision.
Take the gap sheet into your platform search. Compare the best AI workflow automation tools once you've named the work you need covered.
With BreadHead, you review and approve the work before it goes public or into use.
Bring the missing task to a discovery call with BreadHead to talk about whether BreadHead fits. You can book the call without signing up for anything.
